2 The Recruiting Portal (creation of a candidate profile)
In the following sections we will inform you about which data we process when you visit the recruiting portal and register / create a candidate profile and/or directly apply for a position.
There are a number of ways to take the first step towards your career at Lidl:
- You can use EasyApply to respond to a job ad – this is the quickest way to apply for an open position at Lidl. Your candidate profile is automatically created for you.
- You can use a data capture form to register for one of our talent pools. Your candidate profile is automatically created for you.
-
2.1 Your personal data - What data do we process in the candidate profile?
We process:
- the data that you make available to us during registration / application and in the recruiting portal;
- this includes at least your e-mail address, password, first name, last name, country/ region of your place of residence;
- it can also include any data you choose to disclose to us in your uploaded documents (such as CV, references, or cover letter) and any other data you add to your candidate profile or application.
The processing of your profile data takes place on the basis of the user contract for the recruiting portal according to Art. 6 lit. b GDPR.
2.1.1. Creating your candidate profile via EasyApply
If you are interested in a job posted on the career site, we recommend that you use EasyApply to initially create your profile and to apply in one go. After submitting your application, you will receive an email with further information on how to access your candidate profile in the future.
If you are interested in other positions and an application "with login" is offered on our career website, we recommend using it as you will be able to depart from your existing profile information and adjust it if needed for your application. If only EasyApply is offered, seize the opportunity to provide all required/relevant information and documents for that specific position.
Please note that, depending on your visibility settings, recruiters may be aware of your multiple active applications through your candidate profile (see 2.1.5).
You can also change, add or delete information in your user profile at any time, view the status of your application(s), submit additional documents or change your data at a later date.
2.1.2. Consent to consideration of your profile beyond the positions you apply for and to the potential inclusion in a talent pool
If on top of your actual application you are also interested in other suitable vacancies at Lidl Group companies, you can increase your chances of becoming part of #teamlidl by selecting that your candidate profile shall be visible either to all Lidl recruiters worldwide or to Lidl recruiters within your country of residence. These profile visibility options are available when you register/apply as well as under “Welcome to the Lidl Recruitment Portal - Sign In” in your candidate profile on our recruiting portal.
You can choose from the following options for which your profile should be considered:
- In addition, for other current and future suitable positions within the international Lidl Group and the potential inclusion in worldwide talent pool(s).
- In addition, for other current and future suitable positions in my country of residence and the potential inclusion in talent pool(s) for my country of residence.
- Exclusively for positions for which I am actively applying.
Based on your consent, Lidl recruiters worldwide (Option 1) or in your country of residence (Option 2) can view the following information from your candidate profile if your name comes up as a result of a portal-wide search:
First name, last name, candidate ID, e-mail address, telephone number, address, country of residence, selected profile visibility, candidate profile extension (fields that are additionally queried via a data capture form such as degree or earliest availability), assigned tags (keywords such as skills / special knowledge which recruiters can assign to a candidate and use in searches), comments from recruiters on the candidate profile, "application" documents on the profile, affiliation to talent pools (for private talent pools only the talent pools to which the respective recruiter has access will be listed), correspondences and e-mail campaigns sent from the recruiting portal, applications to Lidl (see 2.1.4)
Based on your candidate profile information recruiters might contact you by e-mail and invite you to apply for a position matching your profile. You decide whether you want to apply.
Our recruiters not only look for suitable candidates for currently open positions via the candidate search, but also use talent pools to keep special target groups on the radar and to stay connected to them. For example, they form regional talent pools from second-best candidates for positions that are filled more frequently or for specialist functions.
Details of the profile visibility options
If you select the Option 1 “In addition, for other current and future suitable positions within the international Lidl Group and the potential inclusion in worldwide talent pool(s).”, you consent to your profile being visible to all recruiters of all Lidl national organizations and Regional Distribution Centers as well as Lidl Stiftung & Co. KG. Please refer to [link to landing page listing all Lidl companies] for a list of all Lidl companies whose recruiters have access to your profile.
The selection of “worldwide consideration/visibility” of your candidate profile always entails that you can be added to any of our worldwide talent pools. Worldwide talent pool means that the recruiters who have access to the talent pool can reside outside of your country of residence. If recruiters with access to your candidate profile consider you a candidate worth keeping track of, they can add you to one or several of our worldwide talent pools based on your consent.
If you select the Option 2 “In addition, for other current and future suitable positions in my country of residence and the potential inclusion in talent pool(s) for my country of residence”, you consent to your profile being visible to all recruiters of the Lidl national organization and the associated Regional Distribution Centers in your country of residence.
The selection of “country of residence consideration/visibility” of your candidate profile allows recruiters in your country of residence to add you to any talent pool. Recruiters from outside of your country of residence can neither find your candidate profile via portal-wide searches nor add you to a talent pool.
If you go with Option 3 “Exclusively for positions for which I am actively applying.”, only recruiters in charge of positions for which you actively apply have access to your candidate profile. Your profile cannot be found via portal-wide searches and therefore can neither be added to a talent pool nor be considered for other positions matching your profile.
Withdrawal of consent
You can revoke your consent to the worldwide or country of residence visibility/consideration of your profile and for participation in the talent pools at any time with effect for the future. To do so, please change your visibility settings directly in your profile in“Welcome to the Lidl Recruitment Portal - Sign In” The legality of the processing that has already taken place up until the receipt of your withdrawal is not affected by this.
Please note that the change in visibility settings has the following effects:
- Worldwide changed to country of residence (1 à 2): Only recruiters within your country of residence can find and access your profile and consider you for other suitable positions. If you had been part of a talent pool to which a recruiter from outside of your country of residence had access, this recruiter would no longer be able to access your profile data.
- Worldwide or country of residence changed to positions for which I am actively applying (1 or 2 à 3): You can no longer be found through portal-wide searches. If you had been part of a talent pool, recruiters would no longer see your name and profile data when calling up the pool. You cannot be considered for other suitable positions.
Note: If data is transmitted to a Lidl company that is headquartered in non-EU/ non-EEA countries ("third countries"), the data protection level in this third country may be lower compared to that in the EU/ EEA, which may mean that the rights of data subjects may not be enforced at all or not in the same way. If we transfer personal data to data recipients outside the EU/ EEA, the transfer will only take place if an adequate level of data protection in the third country has been confirmed by the EU Commission, an appropriate level of data protection has been agreed with the data recipient (e.g. by means of EU standard contractual clauses) or you have given us your express consent.
2.1.3 Registering for a talent pool via data capture forms
When visiting a career fair or after being approached and interviewed by an active sourcer, you have in some countries the opportunity to register in the recruiting portal via a data capture form without having to apply for a specific position, but with the aim to be included in a talent pool and considered for future vacancies that suit your qualifications.
Your data is automatically used to create a candidate profile in the background. This includes all functionalities mentioned in section 2.1.1. In this context, we would like to give you the opportunity to be taken into account for suitable positions in all Lidl companies worldwide. This is why your candidate profile is automatically visible/considered worldwide (Option 1) by default when you register for a talent pool via data capture form. You can change this setting in your profile to limit visibility/consideration to your own country and will receive further information in an email following your registration. Further information on the visibility options (especially option 1) can be found in section 2.1.2.
Withdrawal of consent
You can revoke your consent to participate in the talent pools via data capture forms at any time with effect for the future. To do so, please change your visibility settings directly in your profile in “Welcome to the Lidl Recruitment Portal - Sign In” . The legality of the processing that has already taken place up until the receipt of your withdrawal is not affected by this. For more information on the different visibility options and their effects, see 2.1.2.
2.1.4 Submission of applicants via an agency
If an agency submitted your “short application” (first and last name, e-mail address, country/region code, phone number, country/region and CV) for an open position with us, you will be notified about this via e-mail. If the recruiter in charge of the position wants to proceed with your application, you will be invited to apply and provide additional job-specific information. In case you do not apply within 30 days after the agency has submitted your “short application”, your “short application” will get deleted.
If you apply for multiple jobs with Lidl companies the recruiters in charge will have access to the following information from your other applications within the limits set by your selected visibility option: date of the application, position title, status of the application, recruiter’s first and last name.
If you select “consideration exclusively for positions for which I am actively applying.” (Option 3) recruiters in charge of other positions, you have applied for will be informed about the fact that your application to their role is not your only application with Lidl, but they will not see any details regarding your other applications.
If you select "consideration for other current and future suitable positions in my country of residence" (Option 2) and you have applied to several jobs within your country of residence, then the information as listed above on these other applications will be available to the recruiters in charge of filling the other positions. They will also have access to the aforementioned information on applications you submitted to Lidl companies outside of your country of residence. However, recruiters in charge of filling positions outside of your country of residence to which you have applied will only see that the application to their role is not your only application with Lidl – they will not see any details regarding other applications.
If you select "consideration for other current and future suitable positions within the international Lidl Group" (Option 1) all recruiters in charge of positions you have applied for will have access to the information as listed above from any of your other applications with any Lidl company.
2.1.6 E-Mail campaigns
In case you have given us your explicit consent for campaign e-mails on your application/ registration/ candidate profile, you can be included in mailings in which information on job opportunities, news from Lidl or invitations to events are shared.
Withdrawal of consent
If you no longer want to receive these mailings, you can withdraw your consent to them in your candidate profile by unchecking the box in “Welcome to the Lidl Recruitment Portal - Sign In” The legality of the processing that has already taken place up until the receipt of your withdrawal is not affected by this. Please note that the consent to e-mail campaigns has no impact on the consideration of your profile for other job opportunities/the potential inclusion in a talent pool.
2.1.7 Logfiles
Regardless of which option you choose in order to apply or register, when you visit the recruiting portal, log files are generated with the following content:
• your IP address
• the path of the page
• a description of the type of user agent used (e.g., your web browser)
• the website from which you came to the current page (referrer)
• as well as the date and time of the query.
-
2.2 Purposes and legal basis
When creating your candidate profile without applying for a specific job yet, the processing of your profile data takes place on the basis of the user contract for the recruiting portal according to Article 6 (1) lit. b GDPR.
When registering for a talent pool, the data you provide to us through your candidate profile is processed based on your consent pursuant to Article 6 (1) lit. a GDPR.
If you opt for the visibility options worldwide (1) or country of residence (2) and the potential inclusion in a talent pool your data is also processed on the basis of Art. 6 (1) lit a GDPR.
If you have given us your express consent to send you campaign e-mails in your application/registration/candidate profile, the legal basis for this is your consent according to Art. 6 (1) lit a GDPR.
To make the application process as pleasant as possible for you, our recruiters see multiple applications within the limits detailed out in 2.1.5. The legal basis is Art. 6 (1) lit f GDPR. The legitimate interest is to adapt the (pre)selection process and spare you answering the same questions multiple times.
Withdrawal of consent to the Visibility Settings
Your consent is voluntary. You can revoke it at any time with effect for the future by adjusting your profile visibility settings in your candidate profile in “Data Privacy Settings and Search Options” with the effects outlined in 2.1.2. The legality of the processing that has already taken place up until the receipt of your withdrawal is not affected by this.
Please note that if you withdraw your consent, the following setting will automatically apply: “Exclusively for positions for which I am actively applying”. This means that only the recruiters and, if applicable, the managers responsible for the respective positions for which you have an active application can view your job-related data within the application. In addition, the withdrawal also means that your data will no longer be visible to recruiter in any talent pools provided that they have been included in one – including registration in a talent pool via a data capture form.
